Terms of Office:
*Appointed positions are voting positions. They are filled by a recommendation of a nominee, and a vote by the board.
PRESIDENT, DUTIES OF The President shall be the principal executive officer of the Club, in charge of the Business and affairs of the Club. The President shall be subject to the advice and consent of the Board. The President shall assure that the resolutions and directives of the Board are carried out, except in those instances in which the responsibility is assigned to another officer or member of the Board. In general, the President shall discharge all duties incidental to the office of the President, and such other duties as assigned by the Board. The President shall preside at all meetings of the Board. All correspondence shall be under the supervision of the Board. The President and/or the Board will have authority to appoint any special committee deemed appropriate at any given time whether listed in these by-laws or not. The President shall be an ex-officio member of any committee elected or appointed. The President has the authority to appoint a moderator for a meeting. The President shall be in charge of setting an agenda for each meeting of the Board. VICE PRESIDENT, DUTIES OF The Vice President shall assist the President in the discharge of his/her duties as the President may direct and shall perform such other duties as may be assigned by the President or the Board. In the absence of the President, or in the event of his/her inability or refusal to act, the Vice President shall perform the duties of the President and, when so acting, shall have the powers of and be subject to all the restrictions upon the office of the President. SECRETARY, DUTIES OF The Secretary shall maintain a permanent record of the minutes of the Board meetings, and Articles of Incorporation. They shall see that all notices are duly given in accordance with the by-laws or as required by law. The Secretary shall also be responsible for assisting the Treasurer with fiduciary responsibilities as needed. The Secretary shall perform all duties incidental to the office of Secretary and other such duties as assigned by the President or the Board. The Secretary shall maintain a calendar for renewal notices and to ensure that filings are kept current. TREASURER, DUTIES OF The Treasurer shall be the principal accounting and financial officer of the Club. The Treasurer shall be responsible for the maintenance of the financial records of the Club. The Treasurer shall have charge and custody of all funds, securities, and monies of the Club, and be responsible for the receipt and disbursement thereof; perform all duties incidental to the office of the Treasurer and other duties as may be assigned by the President or the Board. No funds will be expended without prior approval of the Board except those provided for in the by-laws. The Treasurer will be authorized to spend for office supplies, postage, newsletters, printing, long distance phone calls and other administrative costs not to exceed $200.00. The fiscal year for the Club shall run from January 1st to December 31st. The Treasurer shall file with the Board and have available quarterly financial reports. The Treasurer shall also be responsible for ensuring that those filings and reports required by federal and state agencies are prepared. The Treasurer shall ensure that annual financial and budget reports as deemed necessary by the board are prepared in a timely manner. PUBLIC RELATIONS DIRECTOR, DUTIES OF The Public Relations Director will be responsible for promoting all club events and weekly dances. The Public Relations Director will be responsible for publishing the Out and About e-newsletter, Administrating the StL Rebels Facebook, and the production of all print advertising. MUSIC/AUDIO DIRECTOR, DUTIES OF The music director will be responsible for scheduling all DJ’s and making sure they follow the clubs musical format for all club dances. The Music/Audio Director will make sure that all audio equipment is maintained, and in good working condition. The Music/Audio Director is responsible for overseeing the safekeeping, storage, setup and break down of audio equipment for all club events. The Music/Audio Director is to provide the Treasurer with vouchers to insure that all DJs are paid. DANCE LESSON DIRECTOR, DUTIES OF The dance director will be responsible for the scheduling of all teachers, lessons and lesson format for the weekly dances. The Dance Lesson Director is to provide the Treasurer with vouchers to insure that all teachers are paid. CLUB DANCE DIRECTOR, DUTIES OF The Club Dance Director will be responsible for set up, clean up, scheduling of volunteers, decorating, registration desk staffing, as well as the seasonal demands regarding maintenance of the dance floor and climate control of the weekly dances. MEMBERSHIP DIRECTOR, DUTIES OF The Membership Director will be responsible for maintaining and updating the membership database. The Membership Director is responsible for preparing membership packets as directed by the Board, and making sure of their availability at all club events. The Membership Director shall coordinate with the Treasurer in collecting membership dues. OUTSIDE CLUB EVENTS DIRECTOR, DUTIES OF The Outside Club Events Director promotes the events that our club will participate in including MMISL, and out of town events. This includes coordinating table purchases, negotiating with event directors on discounts, travel and/or hotel room discounts. SERGEANT AT ARMS, DUTIES OF The Sergeant at Arms is responsible for monitoring the door at club events to maintain the safety of our attendees. The Sergeant at Arms should be available to escort our members to their cars if requested, or have someone available to perform these duties. The Sergeant at Arms is responsible for all parking needs, and may coordinate valet parking for club events. EVENT DIRECTOR, DUTIES OF The Event Director will be responsible for directing all aspects of the annual Meet Me In St. Louis event. This includes negotiating/booking/scheduling and accommodating all out of town professionals, including negotiating the space and time at the Meet Me In St. Louis venue. All progress will be reported to the Board. The budget has to be approved by the Board. The Event Director is a Board appointed position with voting rights. WEBMASTER, DUTIES OF The Webmaster will be responsible for all updates to the website owned by the STL Rebels and MMISTL. The Webmaster will post the quarterly electronic newsletter in conjunction with the Promotions Director. The Webmaster will be responsible for updating the calendar of events and creating the weekly e-reminder. The Webmaster will be a Board appointed position with voting rights. |
